Job Summary:

The Accounts Payable Specialist will be responsible for the day-to-day controls of receiving, processing, verifying, reconciling vendor invoices. Ensuring the company benefits from all available discount opportunities and ensure timely payment to our vendors. The successful candidate will a team collaborator assisting with accounts payable processing, general ledger balance management, month-end close, year-end close, and audit support.

Duties/Responsibilities:

  • Process accounts payable invoices including purchase order invoices into the accounting ERP including coding and allocations.
  • Process weekly vendor payments in compliance with department and company policies and procedures.
  • Review payment requests for appropriate documentation and approval prior to payment.
  • Research outstanding checks: work with vendors to identify and resolve issues.
  • Upload positive pay report to the bank and monitor daily.
  • Process monthly corporate card statement and submit documentation in accordance with the corporate credit card policy.
  • Verify and investigate discrepancies by reconciling vendor statements.
  • Complete month-end accounts payable reconciliation.
  • Onboard and maintain vendor database.
  • Ad-Hoc request as required or assigned.

Required Skills/Abilities:

  • Experience and knowledge of accounting practices and office procedures required.
  • Strong verbal, written, and interpersonal communication skills.
  • Strong problem solving, organizational and time management skills with attention to detail.
  • Ability to work independently and as part of a team, self-motivation, adaptability, and display a positive attitude.
  • Ability to learn new techniques, perform multiple tasks, keep accurate records, follow instructions, and comply with company policies.
  • High level of discretion, confidentiality, and professionalism.
  • Proficient with MS Office Suites Programs (Word, Excel, Outlook, PowerPoint, OneDrive, and Teams) and ERP software programs.

Education and Experience:

  • High School Diploma with minimum 2 years Accounts Payable or an equivalent combination of education and experience required.
  • Associate’s (A.A.) Degree in Accounting or Finance discipline preferred.

Physical Requirements:

  • Must be able to sit, working on a computer for prolonged periods of time.
  • Must be able to handle files and lift document storage boxes up to 20 pounds.
  • Must be able to continuously talk, hear and speak with internal and external customers.
  • Must be able to lift, bend, twist, kneel, crouch, and crawl.
  • Must be able to travel including some overnight travel.
  • Must possess a valid driver's license with the ability to drive.
